What is the true cost of an ERP system for a small to medium-sized businesses? In order to be able to compare the various options and cost components, you first need to review the total picture for the life of system. This article will give the information you need to make an informed comparison including the ongoing cost that are often overlooked - but are really important to be aware of.

First off, you need to find the answer to these two questions:

What type of PROCESSES should the system provide?
This means you must clarify what functionalities the system should contain and what problems the system should solve for your company.
What type of DELIVERY model suits your company?
This means you should know the difference between on-premise, cloud-based and software as a service - and most importantly, who is responsible for what costs in the delivery models.

What type of processes should the system provide?

Let's start with the basics. Every company needs process support for their employees, such as handling salaries. Then you need to manage your financials. Suppose you're a small and medium-sized business (SMB) operating within wholesale or distribution, you will probably need system support for sales, procurement, logistics, and CRM. Alternatively, if you're a manufacturing business, you need help with various production processes. Some systems have modules to cover all these areas, and some have only one or two. In addition, there are significant differences in how "deep" the different systems go concerning functionality and flexibility for each area.

The first step is therefore to find out the business processes you need your future ERP system to cover.

It may sound easy - but it can be a real challenge! No system is the same, even though they may look identical at first glance. Many systems providers use the term ERP (Enterprise Resource Planning), but only provide support for a few business processes. Therefore, it is wise to examine what the different system providers actually deliver.

Let's look at three different types of ERP systems and what separates them:

Financial "ERP" Systems

Many systems cover basic HR, payroll, and finance processes in the same system. Some of these systems also include travel expenses and various forms of invoice scanning. If you do not need extended functionality for logistics and production, these systems will make sense to choose.

Suppose you decide on such a system and also require CRM, sales, production or logistics functionality? In that case, these processes must either be covered by other professional systems, manual routines or Excel.

Good examples of relevant financial systems are: Tripletex, xLedger, PowerOffice GO, and UniMicro.

ERP systems for the SMB Market

Calling something an ERP system often becomes a matter of definition. In this case, we mean systems that have modules for sales, logistics, or production in addition to finance. The modules will vary significantly within each system concerning the depth of functionality. Some systems are flexible and can be customized and further developed individually for different users. In contrast, other systems rely more on standard processes.

There is a sharp distinction between systems that have production functionality and those that do not. The alternative to not including production as the main feature in your software suite is to continue with manual routines or integrate a separate system that is either run manually alongside or integrated into the financial system.

Good examples of relevant ERP systems for the SMB market are: Navision (Dynamics 365 Business Central), Visma.net, Monitor and RamBase.

ERP Systems for the ENTERPRISE Market

In the early days of the ERP, there were fewer systems to choose from, resulting in SMBs opting for complex enterprise systems to cover their processes. In recent years, several of the supplier of these enterprise systems, once accessible to smaller companies, have made conscious choices to focus only on the higher market segment.

Enterprise systems may have the same basic functionality as those offered to SMBs. Still, they will often have more configuration capabilities, support for more complex processes, multi-country customization, complicated logistics, etc. Therefore, they are often more expensive regarding set-up and monthly costs than other systems. And usually take a long time to implement – typically a year or more.

Examples of such systems are IFS, Dynamics 365 for Finance and Operations (formerly Dynamics AX), and Infor M3.

What type of delivery model suits your company?

Being in the "Cloud" is something everybody is promoting these days. When debating cloud solutions, the discussions are often centered around cloud security aspects. But it is just as important to also examine the cost aspect. Theoretically, one can achieve the same level of service if the system is in the cloud or on-premise. The important distinction is how the service is delivered and how it will be charged.

We can roughly divide system deliveries into three different models.

On-Premise Solution

An on-premises solution means that the system is installed on the customer's own infrastructure. The customer is responsible for ensuring the correct licensing of all necessary equipment and operating it correctly. With this solution, it is customary to buy the license and hosting equipment and pay maintenance regularly or rent the license and hardware at a monthly price.

Upgrades and new functionality must be carried out by the customer, or these services can be bought from others. The usual solution is to purchase additional capacity or functionality when needed. It is common to have a subcontractor who takes care of the maintenance and management of the system, but this is often a different supplier than the system supplier.

This system choice is still common among some larger companies and others who have particular challenges related to system functionality.

Cloud Solution

A cloud solution is not a precise concept since there can be several different architectures and ways of implementing these systems. A common understanding is usually that the provider takes care of the operation of the system and places it in a cloud solution. This can be a public cloud (as Azure or AWS), a local cloud provided by the supplier or something that may be more reminiscent of a traditional ASP – environment, such as salesforce.com.

The system provider will often also ensure that all infrastructure is in place, licenses are sufficient, etc. In addition, updates and new versions are usually made "available" to the customer, but they must involve themselves in the actual upgrade and pay for the consulting hours connected to the upgrade. In terms of price, it is common for the service to be divided into 3 different parts:

License cost: either as rental costs per month or buy the licenses and pay a maintenance cost per year. This provides access to updates.
Operation cost: a fixed fee per month that includes infrastructure, licenses and databases to operate the system.
Upgrades and changes to the system: there is no problem with incorporating this into the fixed cost, but the usual way is to keep it out or include it on a "time and materials" basis. The main reason is that the supplier cannot predict how costly future upgrades will be.

Software as a Service

Software as a Service (SaaS) is a delivery form where the supplier takes all the responsibility for the system being up to date and operating correctly. This means that the customer's task is limited to only learning how to use the system; everything else is the supplier's responsibility.

How and when upgrades are executed varies between different SaaS systems. Some systems run regular version upgrades, while others collect them for larger releases. Some take down the system while upgrading; others can do upgrades while the system is running. In most cases, the supplier is responsible for implementing and testing the upgrades and maintaining the security and functionality of the system.

The regular cost is often a monthly "per-user" subscription fee. This means that costs such as servers, other licenses, future upgrades, amendments to comply with legislative changes, etc. will be included in this subscription cost.

How to compare the different options?

At first glance, it may seem that it's cheaper to do everything yourself, but the reality may be different. An illustrative way of highlighting the differences in the various system delivery models is done by The Software Report¹.

The bottom line is that although the license costs for SaaS systems may seem high, they also represent a much larger proportion of the actual total cost. The exact figures will vary between systems, so always try to find the total cost, including both internal and external costs - now and in the future.

Let's give you some specific aspects to consider.

Technical dept

Technical debt is a term used to try and “put a number” on the challenges faced by companies postponing making decisions (and investments) regarding proper systems solutions. By keeping outdated systems, companies also miss out on new effective ways of working. Technical debt is the amount of investment you must make to reach today’s expected level of system support. That investment can consist of many things, such as: new licenses, consultancy costs for an upgrade project, training, new infrastructure, new systems to cover new ways of working, etc. This number is difficult to calculate and therefore often not prioritized by many management groups and boards. Thus, the cost, risk and consequences can be very high when you first decide to do something.

Upgrades

Imagine the authorities changing the VAT rules. Who is responsible for the system upgrade needed for the new change? The usual issue is whether the operation model itself ensures continuous upgrading. The difference between the various systems is how the cost associated with the upgrades becomes visible to the customer. SaaS solutions upgrades are included in the subscription price. The cost of upgrades must be negotiated with the supplier for the other system solutions. Some systems also offer major version upgrades. This is often more than a technical upgrade, typically including new or improved functionality.

Internal Administration Cost

How much of the time spent on IT support really can be contributed to your ERP system? The internal administration cost of managing a system is an element that is easy to forget, but which can be considerable. It's easy to count the hours that the suppliers have invoiced, but how much time is spent on internal coordination of suppliers, internal testing, planning, follow-up, etc. Again, this applies to both cloud solutions and local solutions.

Licenses and Hardware

If you're considering managing your system's infrastructure yourself, licenses and hardware are one cost element to have in mind. Both ongoing charges and depreciation costs on the investments need to be included. Written-down hardware is not free; it still needs to be operated. A future hardware upgrade must be included in the system cost estimate.

Total Cost over Time

One important thing for many in the decision-making process is the actual financing, liquidity, and predictability of the investment. It's challenging to set this up without having the exact numbers on each item. Still, there are sometimes significant differences in the accrual of costs. The total cost over time will vary based on the different delivery models. Any support agreement with user support and continuous training must also be included to show an accurate picture when doing this calculation.

Cost and time – how to make the right decision?

That is the big question, and it may not always be possible to put a value on all the different cost elements that we have mentioned. This is the important work you have to do when comparing systems is to get the most accurate picture possible of the following cost elements:

Maintenance	Yearly maintenance cost after license purchase
Support Agreement	System support for users
Hardware and Infrastructure	Investment and depreciation for on-premises solutions or shared/hybrid-solutions
Operation of the Cloud-Service	Cost for the operation of the system in the cloud
IT Support	For on-premises solutions and shared/hybrid solutions
Upgrades	Regardless of the mode of operation you choose
Larger Releases/System Upgrades/Versions	Major upgrades. For cloud solutions and on-premises installations, this is usually done at least every 3 years
Internal Resources Cost	How much time is spent on testing, coordinating, monitoring, and managing the solution?
User Training	The time and resources used to train your employees
Uncertainty	Costs that are difficult to place. Can be added as a percentage of the total

Suppliers should be able to give a precise number or estimate for many of these elements. Keep in mind that the monthly price is not the whole picture. All the other aspects concerning the system delivery need to be fully considered to achieve a proper comparison.

Other relevant questions that can affect the cost of managing the system that you should ask:

How will the system handle changes in local laws and regulations? Who updates the solutions, how is this done and what does it cost to stay up to date?
Who is responsible for security in the solution? Technical security, updated operating systems, backups, etc?
How should the system be kept current and up to date? Who should do what and how often should the system be updated? What is included in the price and what must be ordered and paid for separately?
What if the company grows a lot and new users must be added to the system? How do you ensure that the system has the capacity, remains stable and that the performance is just as good?
What happens if you reduce the number of users of the system? How long will you have to notify the supplier in advance and what costs could be associated with the change? (or are you committed to paying for the original number of uses for longer than you need to?)
How efficient is the implementation process? Are there templates and predefined processes in place, for example, country account plans and reporting requirements, or does everything have to be built from scratch? How long will it take, and what is the cost to your business of this delay?

If you can objectively assess and quantify your options and find a system and a supplier that you believe meets the functional requirements of your company, then you are closer to being able to make a well-informed and more predictable choice.

The most revolutionary technology in decades?

It is not more than a couple of months ago since I saw chatGPT in action for the first time and my jaw dropped. It’s rare for me to be so impressed by new technology these days. Even though the technology we use today is much better than it was 10 years ago, we don’t always notice it because there are constantly small improvements rather than revolutionary changes.

The recent advances in AI services such as chatGPT, DALL-E, Midjourney and Bing Chat are revolutionary (and perhaps a bit frightening). Bill Gates recently said that he considers OpenAI’s GPT model to be the most significant breakthrough in technology since he witnessed the graphical user interface in 1980.

"The development of AI is as fundamental as the creation of the microprocessor, the personal computer, the Internet, and the mobile phone. It will change the way people work, learn, travel, get health care, and communicate with each other. Entire industries will reorient around it. Businesses will distinguish themselves by how well they use it" he continued.

Predicting the future impact of new technology is difficult, but I agree with Bill Gates. This is a technology that has the potential to change our lives.

More than clever algorithms

AI has been a buzzword for a long time, but I have always been reluctant to use it because I think it is often misused. Many people have asked me what the AI strategy for RamBase is, but I have not had an easy answer because what most people call AI is just some clever algorithms or some complex statistics. For example, RamBase can predict the procurement needs for a specific product, and some might be tempted to call it AI (especially in marketing). It can be very useful, and it is not easy to develop, but it is not what I would call true AI.

What we are witnessing now is a completely different level of artificial intelligence. In my opinion, large language models like ChatGPT is something very different from what we have seen before. While some will still argue that these models are simply complex algorithms and advanced statistics, the sheer amount of data used to train them results in truly astonishing outcomes. Some have likened ChatGPT to a parrot, expertly repeating words written by others and understanding how they are commonly put together. However, the scale of the data used to train AI models like this sets them apart and makes them brilliant.

Use with caution

While ChatGPT’s ability to answer complex questions can be mind-blowing, it is important to remember that it can also provide completely incorrect answers. The model’s responses are delivered in convincing language, making it easy to be misled into believing that the information is accurate.

Microsoft recently released Bing Chat, a chatbot that utilizes the same technology as ChatGPT. In addition to generating human-like text, Bing Chat also incorporates information from internet search results to provide more accurate and comprehensive answers. This often results in higher-quality responses, and the chatbot can provide references to the websites where the information was sourced. This makes it much easier to verify if the answer is correct.

Our new AI colleague?

At RamBase, many of us have been utilizing chatGPT and Bing Chat for some time. Our goal is to familiarize ourselves with the technology, explore ways to integrate it into the RamBase product and enhance our productivity.

As language models, Bing Chat and chatGPT are not only proficient in natural languages but also in programming languages. At RamBase, we are already using Bing Chat to generate code. While it’s not perfect yet, and our developers’ jobs are not at risk, they now have a powerful tool to generate code snippets, find solutions to complex programming challenges, and stay up-to-date with new technology. In fact, some of the code in production in RamBase has been written by AI.

At RamBase, we value not only technical expertise but also a deep understanding of the industries in which our customers operate. AI can be a valuable tool in providing detailed insights into these industries and can, as an example, describe a complex procurement flow or give detailed insight into supply chain management.

Although we have yet to determine the best way to integrate this technology into RamBase, we closely monitor its development to ensure we take advantage of all opportunities. While we have some ideas in mind, we are not ready to share them yet. In addition to our internal efforts in this area, we are also collaborating with our development partner, 99X Technology, which is quickly becoming an expert in this field.

TECO 2030 Brings RamBase On Their Green Adventure

In this game, it's all about people, and we meet a lot of personalities who inspire us. People who have guts, and no doubt. These kinds of forward-looking thinkers raise the bar with everything they do. Our customer TECO 2030 is a company filled with these minds. We sat down with their CEO, Tore Enger, to chat about how they take on one of the biggest environmental challenges of our time.

Their mission reduces emissions

TECO 2030 and their technology aims to reduce emissions from growing global shipping volumes. They help their clients operate within the present maritime rules and legislations, as well as prepare them for the new standards coming shortly. It’s praiseworthy to see Enger’s passion shine when talking about their goals, and how they help the world go in a greener direction:

“As long as we don’t make too many mistakes, or the world goes under, we’re on to something great”, Enger proclaims.

With their hydrogen-based fuel cells as the ultimate solution, the shipping industry is moving closer towards zero emissions every day. Although the larger ships sailing across the globe is their main focus, the technology can be used for more. Enger tells us about their market;

“We aim for the big things. Our hydrogen-based fuel cells are made for everything that’s heavy-duty.”

Together with them on this journey, TECO 2030 cooperates closely with the power player AVL: the world's biggest independent developer of propulsion.

“AVL has 150 people dedicated to setting up production lines. That is something they’re helping us with. As well as developing prototypes”, Enger continues.

Since 2019, TECO 2030 has had a list of key highlights with signed strategic partnerships, recognition & funding from major companies and organizations. Last year they got recognized by Innovation Norway, awarding them with 50mill NOK for their green solutions. Enger enthusiastically shares how this showcases that they’re on to something great. Also, he explains why it makes sense:

“Innovation Norway and the other companies who support us know our solution is solving a major problem. Moreover, as a business, they know that we know this market. Through our parent company, we’ve been in this market since 1994. We’re working with the same type of customers. At this point it’s just a part of who we are”, Enger says.

Producing green gold up North

One of the most exciting touchpoints for TECO 2030 is their new plant up north, which will be a combined innovation center and factory. This gigafactory is becoming Norway’s first large-scale production of hydrogen-based fuel cells.

“It was quite funny how we ended up with the plant up north! We were looking for the right location, and one day we got an email saying “We see that you’re looking for a new factory. We got one. Bring your coffee maker and get up here”. The next day, we went up there to have a look. The rest is history”.

Enger tells us how this location is perfect for their upcoming production, both for local and international projects. Located in Narvik, this facility has brought new life to its local surroundings, and the company aims to employ 500 people by the year 2030.

Setting up for the future with RamBase ERP

To prepare the company for a future with massive growth and production: TECO 2030 needed a full-flex, future-proof ERP system.

“We needed a system in place so that everything is running smoothly when the major production kicks off”, Enger says.

Like every strong relationship, TECO 2030 and RamBase started by getting to know each other and establishing trust. It’s simply about more than the technology itself. To see the solution in action and learn more about the possibilities, TECO 2030 visited Hatteland Technology. After that, we traveled together down to Poland and Autostore. Enger continues to tell the story of how it all came into place:

“We already had a good relationship with the Hatteland Group. Together with RamBase, we traveled down to Poland to see the system in place over at Autostore. Once we saw how it worked, it made sense right away”.

Enger continues to share some of the decision-makers for choosing RamBase:

“After our visit to Autostore, we brought RamBase with us down to AVL, who simply said that they were incredibly impressed with RamBase’s technology. At that point, it’s a no-brainer.”

Enger and TECO 2030 goes all-in with the Hatteland Group. They have already implemented EMP Secure's solutions for IT operations, and by implementing INOSA and RamBase they get future-proof management and ERP systems. This will support their growth and prepare them to handle complex needs.

These days, RamBase is going full throttle together with TECO 2030, preparing for a year full of new achievements and highlights. We’re excited that they chose RamBase as their ERP solution, but just as excited to be part of this green adventure.

Westcontrol Keeps Growing with RamBase

Westcontrol is preparing for the future with RamBase. They are a turnkey supplier that designs, develops, and manufactures products for several industries. Everything they do is based on innovative ideas, and the technology to see them through.

CHOOSING RAMBASE

Since establishing the company in 1994, Westcontrol has had massive growth - and they just keep growing. Going forward, they are ready to skyrocket their company to new heights. To do so, they need to have a system in place that can not only handle the growth but elevate it.

As they prepared for the company’s next chapter they saw the need for a full-fledged system:

“We needed a modern, professional system”, says managing director of Westcontrol, Leif Petter Skaar.

Westcontrol has lots of data and documents that need to be coordinated. Skaar points out that as a high-tech company with more than 40.000 components in its register, there is a vast amount of things to keep track of. To match their lofty ambitions, they look to simplify the process of planning, documenting, producing and managing their inventory.

IMPLEMENTING AN ERP SYSTEM

Westcontrol is in the middle of implementing RamBase, which means they are somewhere in between the old and the new system.

“Our expectations are sky-high”, says Skaar about the move to RamBase.

He emphasizes that switching to a completely new ERP system is an investment for the future, but can also be a demanding process for all parties involved. Working closely together throughout the process is therefore key in addition to Westcontrol being motivated for the change. Together with BDO, an experienced RamBase implementation partner, a strong process for Westcontrol is facilitated. On Westcontrol’s side of things, they have the experienced System Administrator, Eirik Høie, keeping everything on track.

“We are incredibly happy that we have a dedicated ERP resource in the team that controls the process on our side of things”, Skaar says.

At this point, Westcontrol is in the final phase of testing, and the start phase of training - with a motivated team.

“People are motivated, and ready to switch to a new system.”

Yorkshire based manufacturers are being encouraged to act quickly as demand accelerates for the latest round of Made Smarter funding, with £325,000 still available to support digital transformation projects across the region.

The programme is offering matched capital grants of up to £20,000, helping SME manufacturers invest in technologies such as automation, robotics, AI, data-driven systems and digital platforms. With the funding window closing at the end of March, competition for remaining support is increasing.

The biggest challenge manufacturers are facing for 2023 is how to cope with disruption to the energy supply. Energy prices in key industrial regions are sky-high as countries struggle to secure dependable sources.

Wholesale electricity and gas prices have surged 15-fold since early 2021⁽¹⁾.

The European Commission has released its action plan for the energy sector with "Digitization" as its key enabler to improve efficiency and renewable integrations. Similarly, the way that manufacturers will manage energy consumption will become more reliant on IoT (internet of things) devices.

IoT technology brings various connectivity and inter-networking benefits that can monitor and address your daily operational energy use. This technology can be linked closely with productivity, and on-floor activities, to measure process effectiveness while identifying ways of reducing energy consumption. Forrester predicts that 30% of manufacturers will pivot IoT investments to reduce their energy bills(2).

Building resilient supply chains

Ongoing supply chain disruptions, volatility in commodities markets, lockdowns abroad, and rising operating costs continue to pressure the manufacturing sector. Fortune reports that more than 94% of Fortune 1000 companies have suffered significant supply chain disruption, which is being felt both by businesses and consumers.

Is it time to rethink suppliers?

Suppose disruptions have resulted in noticeable delays in your production. In that case, it's time to examine your sourcing capabilities. Having faced one problem after another, supply chain managers are shifting their focus from "just in time" to "just in case" eventualities. Research from BCI Global shows that over 60% of European and US companies plan to re-shore activities in the next three years and prefer less risky but costlier markets such as the Czech Republic, Poland, and Hungary⁽³⁾.

Cyber-attacks on the rise

As cyber-attacks are becoming more frequent and sophisticated, manufacturers find themselves in an increasingly vulnerable position to these threats. In 2022, manufacturing was reported to be the most targeted industry for the second year, making up 20% of double extortion ransomware attacks⁽⁴⁾. It's a lucrative business, Reuters reports that ransomware attacks have increased threefold since 2020, with ransoms rising from $416 million for all of 2020 to $590 million for the first six months of 2022⁽⁵⁾. This has resulted in fraudsters increasingly targeting more prominent industries due to the likelihood of being paid.

Some attacks may have a spillover effect far beyond their original targets as the malware spreads. Manufacturers need to invest in cybersecurity measures to protect themselves from these threats. Forrester recommends increasing or defending your digital investments to include: API security, cloud workload security, multifactor authentication, security analytics, Zero Trust network access, and crisis simulation exercises⁽⁶⁾.

Investing in an economic downturn

The global economy is facing a number of challenges, including rising debt levels, political uncertainty, and trade tensions. According to Forrester’s 2022 data, the majority of online adults in the US (64%), UK (59%), and France (55%) are anxious about the possibility of a recession⁽⁷⁾. The pandemic, growing economic uncertainty, geopolitical conflict and escalating costs have added to the current economic slowdown(8), which is likely to impact manufacturers. As a result, businesses are reexamining their expenditure costs. This focus on essentialism will tap the breaks on transformation and force businesses to focus on core business drivers: resilience and efficiency⁽⁹⁾.

For example, a UK electronics manufacturer needed to be able to respond to customer needs and product development quickly. This led to a decision to focus on lifting its internal processes and quality measures by implementing new technology. The move allowed the company to gain a sustainable growth solution for managing spending priorities, operational flexibility, and risk mitigation.

The enterprise Metaverse

The enterprise metaverse is an emerging technology that enables virtual and augmented reality to be used in the workplace. This technology has the potential to revolutionize the way manufacturers work by enabling them to visualize and interact with complex information in new ways. A report by Grand View Research found that the global enterprise metaverse market is expected to reach USD678.8 billion by 2030, growing at a CAGR of 39.4% during the forecast period⁽¹¹⁾. So far, manufacturing is leading the way in moving the metaverse precursors toward more integrated environments⁽¹²⁾.

It all depends on business maturity

The Metaverse enterprise may take some time to materialize fully, and often it's industry leaders with big budgets who jump on new technology first. However, companies within the SMB market should take advantage of their end-to-end management systems. Your technology should allow you to reinvent your processes with APIs and train your team within a digital test system to achieve better outcomes rather than replicating existing experiences and dated techniques.

The green market revolution

A 2023 report by Euromonitor found that recession-era spending habits are likely to lead to more consumers being frugal about purchases. As a result, the number of Zero Wasters is expected to grow, with value for money, durability, and quality becoming more significant factors in shaping consumer purchasing decisions⁽¹⁵⁾.

Much of a product's carbon footprint in production and usage is determined during its design phase. However, most automation tasks go through the cycle of completing static processes. As a result, organizations are shifting focus and are looking for value in data-driven methods to improve their automation investments. This year, Forrester predicts that 35% of enterprises that depend on human physical ability will integrate physical robots with mainstream tech⁽¹⁷⁾. This includes events triggered by IoT devices or state changes in Machine Learning applications which will transform end-to-end business processes.
